1. Purpose of this Policy

This Data Retention & Deletion Policy explains how Ason Towers Care Hub collects, retains, stores, and deletes personal information and platform data.

The policy is designed to comply with:

• the Privacy Act 1988 (Cth)
• the Australian Privacy Principles (APPs)

In particular:

• APP 1 – Open and transparent management
• APP 5 – Notification of collection
• APP 11 – Security of personal information
• APP 12–13 – Access and correction rights

This policy applies to all platform users including:

• Consumers
• Providers
• Workers
• event hosts
• advertisers


2. Types of Data We Collect

We may collect and store several categories of data.


2.1 Account & Identity Data

Examples include:

• name
• email address
• phone number
• account login credentials (stored securely)
• user role (Consumer, Provider, Worker)


2.2 Profile & Listing Data

This may include:

• service descriptions
• job advertisements
• profile information
• qualifications or screening declarations
• availability, location, and service categories


2.3 Communication Data

Examples include:

• messages sent through the Platform
• enquiry records and timestamps
• support requests and complaints


2.4 Transactional Data

Examples include:

• subscription status
• billing records and invoices
• payment confirmations processed through third-party payment providers


2.5 Technical & Usage Data

Examples include:

• IP addresses
• device information
• browser data
• log files and analytics information


2.6 Sensitive Information

Where necessary and lawful, we may collect limited sensitive information, such as:

• health-related information
• disability-related information

We aim to minimise collection of sensitive information and only collect it where necessary and with user consent or legal authority.


3. Data Retention Principles

Ason Towers Care Hub retains personal information only for as long as reasonably necessary to:

• operate and improve the Platform
• comply with legal and regulatory obligations
• resolve disputes or complaints
• enforce Terms and Platform Policies

Information is not retained indefinitely without purpose.


4. Standard Retention Timeframes

Unless a longer retention period is required by law, the following general timeframes apply:

Active accounts
• retained while the account remains active

Inactive accounts
• reviewed for deletion or anonymisation after 24 months of inactivity

Billing and tax records
• retained for a minimum of 7 years under Australian tax law

Support tickets and complaints
• retained for up to 7 years

System logs and security data
• retained for a limited period for security and audit purposes

Retention periods may be extended where necessary for:

• legal proceedings
• regulatory compliance
• dispute resolution


5. Data Storage & Security

Ason Towers takes reasonable steps to protect personal information against:

• misuse
• interference
• loss
• unauthorised access
• modification
• disclosure

Security measures may include:

• secure hosting environments
• access controls and authentication
• encryption where appropriate
• internal access restrictions to authorised personnel

Despite these measures, no system can be completely secure, and users acknowledge this risk.


6. Deletion, De-identification & Anonymisation

When personal information is no longer required:

• it will be securely deleted, or
• permanently de-identified or anonymised

De-identified data may be retained for:

• delete their account and personal information

Requests can be submitted through the platform’s published contact channels.

We will respond within a reasonable timeframe, subject to legal obligations that may require retention.

Ason Towers may engage third-party providers for services including:

Some data may be stored or processed outside Australia.

We take reasonable steps to ensure overseas recipients handle information in accordance with Australian privacy standards.
